1. Acceptance of Terms

By creating an account, accessing, or using the RouteRate service available at app.routerate.app (the “Service”), you (“you”, “your”, “User”) agree to be bound by these Terms of Service (“Terms”) and our Privacy Policy, which is incorporated into these Terms by reference.

If you are accepting these Terms on behalf of a company or other legal entity, you represent and warrant that you have the authority to bind that entity to these Terms. In that case, “you” and “your” will refer to that entity.

If you do not agree to these Terms, you must not create an account or use the Service. By ticking the acceptance checkbox during registration you confirm your agreement.

2. Description of Service

RouteRate is a commercial vehicle route costing and quoting tool designed for transport operators, hauliers, freight brokers, and logistics professionals. The Service enables users to:

  • Calculate estimated route costs including fuel, driver time, tolls, ferry crossings, and other operational expenses
  • Save vehicle fleet profiles with associated running costs
  • Generate, save, and export professional cost breakdown quotes in PDF format
  • View truck-optimised routes on an interactive map
  • Maintain a history of calculated quotes

The Service provides cost estimates only. All figures are indicative and based on user-supplied inputs and third-party data sources. RouteRate does not guarantee the accuracy of route calculations, toll charges, fuel prices, or any other cost component. See Section 9 for the full disclaimer.

3. Eligibility

To use RouteRate you must:

  • Be at least 18 years of age
  • Be using the Service for lawful commercial or professional purposes
  • Not be prohibited from receiving the Service under the laws of any applicable jurisdiction
  • Provide accurate and complete registration information

RouteRate is a business-to-business (B2B) service. It is not intended for use by consumers in a personal capacity. By registering, you confirm that you are acting in a professional or business capacity.

4. User Accounts

When you register for RouteRate you create a personal account. You are responsible for:

  • Keeping your login credentials confidential and not sharing them with any third party outside your organisation
  • All activity that occurs under your account, whether or not authorised by you
  • Notifying us immediately at support@routerate.app if you become aware of any unauthorised access to your account
  • Ensuring your account information (name, email, company) remains accurate and up to date

RouteRate accepts no liability for losses arising from unauthorised account access where you have failed to maintain reasonable security practices, including keeping your password secure and logging out on shared devices.

You may not create more than one account per person without our prior written consent. Accounts are not transferable.

5. Acceptable Use

The Service is provided for legitimate commercial route costing purposes. You agree not to:

  • Use the Service for any unlawful, fraudulent, or deceptive purpose
  • Use the Service to facilitate any activity that breaches road transport regulations, driver hours legislation, or any applicable law
  • Attempt to reverse engineer, decompile, disassemble, or extract source code or proprietary data from the Service
  • Use automated scripts, bots, crawlers, or scrapers to make excessive or unauthorised requests to the Service
  • Circumvent, disable, or interfere with usage limits, authentication, or security features
  • Resell, sublicense, white-label, or redistribute the Service or any part of it without our prior written consent
  • Share your account credentials with persons outside your organisation or team as permitted by your subscription plan
  • Upload or input content that is unlawful, defamatory, harmful, or infringes any third-party rights
  • Attempt to gain unauthorised access to any other user’s data or any part of our infrastructure

We reserve the right to suspend or terminate accounts that breach these acceptable use requirements, with or without notice depending on severity.

6. Free Trial

New users receive a 7-day free trial providing full access to Solo plan features. The trial begins at the time of account registration.

No payment card is required to start your free trial. You will only be asked for payment details if you choose to subscribe after your trial ends.
  • The trial period is limited to 7 calendar days from the date of registration
  • Trial accounts are subject to a route calculation limit (as displayed in the application)
  • At the end of the trial, access to route calculation and quote saving will be restricted until a paid subscription is activated
  • Your data (fleet profiles, saved quotes) will be retained for 30 days after trial expiry to allow you to subscribe and recover your work
  • Trial accounts may only be used once per person and per organisation — creating multiple accounts to extend trial access is a breach of these Terms

7. Subscription Plans and Payment

RouteRate offers the following paid subscription plans, billed monthly:

2 users · 1,000 route calculations per month · +€8/month per additional user

Pricing is in Euros (EUR) exclusive of VAT. Where VAT is applicable based on your billing country, it will be added to the total at checkout. Prices are subject to change with 30 days’ advance notice to existing subscribers.

Payment processing: All payments are processed securely by Stripe, Inc. Your card details are entered directly into Stripe’s secure checkout and are never transmitted to or stored by RouteRate. By subscribing, you also agree to Stripe’s Services Agreement.

Billing cycle: Subscriptions are billed monthly from the date you activate your paid plan. Your subscription will renew automatically each month unless cancelled.

Route limits: Route calculation limits reset at the start of each calendar month. Unused routes do not carry over. If you reach your monthly limit before your renewal date, you will need to upgrade your plan or wait until the next billing cycle.

Additional users (Fleet plan): Additional user seats on the Fleet plan are billed at €8 per additional user per month, pro-rated from the date the seat is added.

8. Cancellation and Refunds

Cancellation: You may cancel your subscription at any time from within your account settings or by contacting us at support@routerate.app. Cancellation takes effect at the end of your current billing period. You will retain full access to the Service until the end of the period you have paid for.

Refunds: As RouteRate is a subscription software service, we do not offer refunds for partial months or for months already billed, except where required by applicable consumer protection law. If you believe you have been charged in error, contact us within 14 days of the charge and we will investigate promptly.

Upgrading or downgrading: You may change your subscription plan at any time. Upgrades take effect immediately and the price difference is pro-rated for the remaining billing period. Downgrades take effect at the start of the next billing cycle.

Data after cancellation: Following cancellation, your data will be retained for 30 days to allow you to reactivate your subscription. After 30 days, your account data may be deleted in accordance with our Privacy Policy. You may request immediate deletion at any time.

9. Accuracy of Information and Disclaimers

RouteRate provides route cost estimates based on user-supplied inputs, third-party routing data (HERE Technologies), and publicly available charge information. You acknowledge and agree that:

  • All cost figures, distances, driving times, toll amounts, vignette costs, and fuel prices displayed by RouteRate are estimates only and may not reflect actual costs
  • Road charges, tolls, vignettes, ferry prices, and driving restrictions change regularly and RouteRate may not reflect the most current rates at all times
  • Charge rates shown are based on Euro 6 / Euro VI compliant vehicles unless otherwise specified — different charges may apply to other vehicle categories
  • Night driving bans, weekend restrictions, and permit requirements shown are a general guide only — regulations vary by country, road, and vehicle type and are subject to change
  • Fuel prices shown are reference rates only — actual prices vary by country, region, and supplier
  • Route calculations are intended as a planning aid — operators remain solely responsible for verifying all applicable charges, restrictions, and regulations before travel
  • RouteRate does not constitute a licensed transport management system and does not replace the advice of a qualified transport manager

RouteRate accepts no liability whatsoever for any loss, cost, penalty, fine, or damage arising from reliance on figures or information generated by the Service.

10. Third-Party Services

RouteRate integrates with third-party services including Google Maps Platform, HERE Technologies, Stripe, and Supabase. Your use of the Service involves these third-party services and you agree that:

  • Your use of Google Maps features within RouteRate is subject to Google Maps Platform Terms of Service
  • Payment processing is governed by Stripe’s Terms of Service
  • RouteRate is not responsible for the availability, accuracy, or acts or omissions of any third-party service
  • Interruption or degradation of any third-party service may temporarily affect RouteRate functionality and does not entitle you to a refund or service credit

11. Intellectual Property

All content, design, code, algorithms, branding, trademarks, and data structures within RouteRate are the intellectual property of RouteRate and are protected by copyright, trademark, and other applicable laws. You are granted a limited, non-exclusive, non-transferable, revocable licence to access and use the Service for your internal business purposes during the term of your subscription.

You may not:

  • Copy, modify, adapt, or create derivative works based on the Service or its code
  • Use RouteRate’s brand, logo, or trademarks without prior written consent
  • Frame or mirror any part of the Service on another website or application
  • Remove or obscure any proprietary notices or branding within the Service

12. Your Data

You retain full ownership of all data you input into RouteRate, including fleet profiles, route data, cost inputs, and quote information (“Your Data”). By using the Service, you grant RouteRate a limited, non-exclusive licence to store, process, and display Your Data solely for the purpose of providing the Service to you.

We do not sell Your Data to third parties, use it for advertising, or share it with third parties beyond what is necessary to operate the Service as described in our Privacy Policy.

You are responsible for ensuring that any data you input into RouteRate complies with applicable laws and does not infringe any third-party rights.

You may export your quote history in CSV format at any time from within the application. You may request a full data export by contacting privacy@routerate.app.

13. Limitation of Liability

To the maximum extent permitted by applicable law:

  • RouteRate provides the Service on an “as is” and “as available” basis without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement
  • RouteRate does not warrant that the Service will be uninterrupted, error-free, or free from viruses or other harmful components
  • RouteRate shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including but not limited to loss of profits, loss of revenue, loss of data, loss of business, or loss of goodwill, arising from your use of or inability to use the Service
  • RouteRate shall not be liable for any fines, penalties, compliance costs, or losses arising from reliance on cost estimates, route information, or regulatory information provided by the Service
  • To the extent that RouteRate is found liable for any claim, our total aggregate liability to you shall not exceed the total subscription fees paid by you to RouteRate in the 3 months immediately preceding the event giving rise to the claim

Nothing in these Terms shall exclude or limit liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under Irish or EU law.

14. Indemnification

You agree to indemnify, defend, and hold harmless RouteRate and its officers, directors, employees, and contractors from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use of the Service in breach of these Terms
  • Your violation of any applicable law or regulation
  • Any data you input into the Service that infringes the rights of a third party
  • Any wilful misconduct or negligence on your part

15. Termination

Termination by you: You may terminate your account at any time by cancelling your subscription (see Section 8) and requesting account deletion at support@routerate.app.

Termination by RouteRate: We reserve the right to suspend or terminate your access to the Service at any time:

  • For breach of these Terms, particularly Sections 4 (User Accounts) and 5 (Acceptable Use)
  • For non-payment of subscription fees
  • If we reasonably believe your account is being used fraudulently or for unlawful purposes
  • If we are required to do so by law or by a competent authority

Where termination is for breach, we will provide notice where practicable. Where termination is for serious breach (fraud, abuse, illegal use), we may act immediately without prior notice.

Upon termination for any reason, your licence to use the Service ends immediately. Sections 9, 11, 13, 14, and 17 of these Terms survive termination.

16. Changes to the Service or Terms

Changes to the Service: We may modify, add, or remove features of the Service at any time. We will use reasonable efforts to notify users of material changes that significantly affect the Service’s functionality.

Changes to these Terms: We may update these Terms from time to time. When we make material changes we will:

  • Update the effective date at the top of this page
  • Notify registered users by email at least 14 days before the changes take effect
  • Where the changes materially disadvantage you, provide you with the option to cancel your subscription without penalty before the new Terms take effect

Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of those Terms. If you do not agree to updated Terms you must stop using the Service and cancel your subscription before the effective date.

17. Governing Law and Disputes

These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of Ireland.

Any dispute arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Ireland, except where mandatory consumer protection laws in your country of residence require otherwise.

Before commencing any legal proceedings, you agree to attempt to resolve any dispute informally by contacting us at legal@routerate.app. We will endeavour to resolve the dispute within 30 days of receiving your written notice.

Nothing in this clause prevents either party from seeking urgent injunctive or other interim relief from a court of competent jurisdiction.
